What You Receive Before the Goods Ship
Between the deposit and the container there is a gap where most surprises happen. These are the records we send before anything leaves, and how to use them if something is wrong.
Why pre-shipment records matter more than a certificate
A certificate describes a product in general. A pre-shipment record describes the goods actually about to be loaded — which is the thing you are paying for.
If a disagreement ever arises, the pre-shipment record is what settles it: what was agreed, what was produced, and what was checked before dispatch.
Specification confirmation
Before production, the order is restated in writing: product, material, finish, dimensions, keying or coding, packing and branding. This is the document that catches the discrepancy between what was discussed and what was entered on the order.
It is worth reading closely, and worth keeping. It is also the document to quote when reordering, so the second order matches the first.
Artwork and data proof
Where the order carries a mark, a printed card or a file of codes, the proof comes before production: an artwork layout, a mock-up, or a confirmation of what the code file contains and how it will be applied.
Approving the proof is the last cheap moment to change a detail. After that, changing it means making the goods again.
Pre-shipment photographs and video
Before dispatch, we send photographs and video of the finished batch: the product itself, the marking or coding if applicable, and the packing as it will arrive.
The purpose is not decoration. Packing is where small errors become expensive — a carton count that does not match the order, a label in the wrong place, a mark that reads differently at production scale than it did on the proof.
Inspection records and batch reference
Inspection happens at three stages — incoming material, in-process and final — and the records are kept against the batch. The batch reference is what makes a later question answerable: if a specific shipment is queried months later, the reference links the goods back to their production record and their material batch.
Where a customer wants their own inspection or a third-party check, it is arranged before dispatch rather than after arrival, when the goods can no longer be held.
What we do not claim
A pre-shipment record is not a certification and not a substitute for one. If your project requires a specific approval, say so at the enquiry stage and we will tell you what is available, what is not, and what has to come from another party.
We would rather state the boundary than imply a document that does not exist.
How to use the records if something is wrong
If goods arrive that do not match what was agreed, the sequence is straightforward: compare them against the specification confirmation and the pre-shipment photographs, quote the batch reference, and raise it with the agreed specification in hand.
Disputes go quickly when both sides are looking at the same document. That is the practical reason the records exist — not to satisfy a process, but to make a problem resolvable.
